Cape Archives Tours requires full payment to confirm reservations. Failure to remit full payment will result in automatic cancellation. Partial payment may be accepted as advised by a travel consultant. Flight bookings require full payment within 24 hours to secure the fare.
Foreign currency bank transfers are accepted; however, currency conversion to South African Rand (ZAR) is the client's responsibility upon arrival. Clients must instruct their bank to ensure the net invoice amount clears into Cape Archives Tours' account, with all bank charges borne by the client. Reservations are confirmed only upon receipt of the agreed payment
All cancellations must be received in writing. A cancellation request is deemed received only when received to us during our office hours (7:30 to 10:pm), not the hour you send it to us.
Cape Archives Tours issues a 100% refund for bookings cancelled 24 hours or more before start time for payments made directly to our South African bank or PayPal and 96% refund for payments that comes through Pay Genius. Any additional transaction fees are non-refundable.
Cape Archives Tours reserves the right to continue with the rest of the tour in a situation whereby a weather dependent activity forms part of a full day or multiple day tour.
In the event of cancellation due to unfavorable weather conditions, CAT will provide a full refund for the hot air balloon experience, either one day prior or on-site. Clients may also reschedule to the next available date, subject to a transfer fee. Similarly, for the City and Table Mountain Tour, a R420 per person refund applies if the cable car is closed due to inclement weather.
For tandem skydiving, a refund of the skydiving fee will be issued if the flight is cancelled on-site due to unfavorable weather. Rescheduling to the next available date is possible, with an additional charge for return transportation.
Cancellation prior to 8 weeks (about 2 months) of travel – Full 25 % deposit is forfeited
46 days (about 1 and a half months) prior to travel – 50% of total cost is forfeited.
Cancellation less than 45 days (about 1 and a half months) or less prior to travel – 100% of total cost is forfeited.
Please note – In certain instances, our suppliers' Terms & Conditions may differ to the above, or during Peak and Festive Seasons or pertaining to a specific supplier. Should this be the case, Cape Archives tours will inform you before booking. Any request to amend or change a booking once it has been confirmed may be accommodated subject to space availability. No refunds are given (1) for lost travel time or substitution of facilities, (2) for itineraries amended after departure, (3) for circumstances arising beyond the control of Cape Archives tours, necessitating alternative arrangements being made to ensure the safety and / or further participation and enjoyment of your holiday (4) any unused portion of your tour regardless of the reason, including but not limited to sightseeing, activities, meals, accommodations, or transport.
All Cape Archives Tours clients are required to have travel insurance. Without it, you are solely responsible for all costs associated with trip cancellations, rerouting, rescheduling, or any medical or other emergencies that may occur during your travels. Cape Archives Tours is not liable for missed activities or experiences resulting from late arrivals or no-shows due to flight or cruise ship cancellations or delays.
Cape Archives Tours disclaims liability for any loss or damage to luggage stored in our vehicles. Responsibility for lost or damaged baggage rests with the passenger or the carrier.
Please be advised that due to limited space on light aircraft used during safari tours, luggage is subject to weight restrictions as specified in your itinerary, and only soft luggage or duffel bags are permitted. Hard-shell suitcases are prohibited; no exceptions will be granted.
You must advise Cape Archives tours in writing of any special requests, i.e., diet, facility, or physical handicap, when you submit your reservation request to Cape Archives tours which will be met if possible. Cape Archives Tours will not be held responsible should any special requests not be received in writing.
Passengers are liable for all damages to the vehicle's interior and exterior, including upholstery and bodywork. Full payment for such damages is required by Cape Archives Tours
Cape Archives Tours utilizes both full-time staff and independent contractors for its guided tours. All personnel are bound by the Tourism Act, No. 3 of 2014, adhering to all applicable laws of the Republic of South Africa. Guides act solely as representatives of the company and do not assume the role of tour operator. All cancellations are communicated directly to clients or agents via official Cape Archives Tours email or WhatsApp.
Cape Archives Tours strictly prohibits employee relationships or transactions outside the client-approved itinerary. We disclaim all liability for losses—financial or emotional— resulting from unauthorized employee interactions. All complaints regarding employee conduct must be reported immediately to our offices for prompt resolution.
Cape Archives Tours retains the right to subcontract services in emergency situations or at its discretion. Should this occur, the substitute vehicle will, to the extent feasible, match our vehicles in comfort and reliability.
In the event of subcontracting, the substituted vehicle's owner and driver will operate as independent contractors, free from Cape Archives Tours' control.
The Hirer and the substituted vehicle's owner will enter into a separate hire and carriage agreement. The Hirer will indemnify Cape Archives Tours against any claims arising from the substituted vehicle's operation, including but not limited to those resulting from reckless or negligent driving.
NOTE – when you book travel related services with Cape Archives tours, you are entering into a binding agreement that assumes all terms and conditions are fully understood as stated in this document
