Cape Archives tours reserves the right to make changes to this site and this user agreement at any time without notice.
To fully confirm a reservation, Cape Archives tours requires a 100% deposit payment at the time of making your booking. Failure to do so will result in your reservation automatically being cancelled. Full payment for any flights booked will be required within 24 hours, to guarantee said flight costs.
Clients are welcome to settle payment by means of a bank transfer in a foreign currency – in this instance the amount will be converted by your bankers on presentation of our invoice or our bank into Rands, on arrival into South Africa. It is the client’s responsibility to inform and instruct their bankers that the net invoice amount must equal the funds clearing into the Cape Archives Tours bank account and that ALL bank charges are for the client’s account.
A booking will only be deemed to be confirmed once an agreed payment at a given time has been received.
All cancellations must be received in writing. A cancellation request is deemed received the business day it arrives to us, not the day you send it out or notify us by phone.
Cape Archives Tours issues a 100% refund for bookings cancelled 24 hours or more before start time for payments made directly to our South African bank or PayPal and 96% refund for payments that comes through Pay Genius.
Cape Archives Tours reserves the right to Continue with the rest of the tour and then issue the hot air balloon section refund should the flight be cancelled on the day or while on site. Client will also have an option to reschedule the flight to the next available date whereby a transfer fee will be chargeable. The same rule applies to the City tour and Table Mountain Tour which carries a R420 refund/p policy should the Cable car be closed due to bad weather.
The tandem skydiving activities carries a 50% refund policy should the flight be cancelled while already on site due to inconducive weather. Client may also reschedule to the next available day and whereby a transfer fee would be chargeable
Cancellation prior to 8 weeks (about 2 months) of travel – Full 25 % deposit is forfeited – Cancellation 8 weeks (about 2 months) – 46 days (about 1 and a half months) prior to travel – 50% of total cost is forfeited.
Cancellation less than 45 days (about 1 and a half months) or less prior to travel – 100% of total cost is forfeited
Please note – In certain instances our suppliers' Terms & Conditions may differ to the above, or during Peak and Festive Seasons or pertaining to a specific supplier. Should this be the case, Cape Archives tours will inform you before booking. Any request to amend or change a booking once it has been confirmed may be accommodated subject to space availability.
No refunds are given (1) for lost travel time or substitution of facilities, (2) for itineraries amended after departure, (3) for circumstances arising beyond the control of Cape Archives tours, necessitating alternative arrangements being made to ensure the safety and / or further participation and enjoyment of your holiday (4) any unused portion of your tour regardless of the reason, including but not limited to sightseeing, activities, meals, accommodations, or transport.
Travel Insurance is required by all clients who have booked with Cape Archives tours. You acknowledge that without such travel insurance, you will be responsible for all costs arising from any cancellation, re- routing, or rescheduling of your trip or any emergency (medical or other) that may arise during your travel
Temporary or permanent loss of baggage is the responsibility of you or the carrier. Please note that when traveling by light aircraft during your tour, space is limited, and luggage is limited to a weight restriction as is indicated in your itinerary and ONLY soft luggage or duffel bags are allowed. No hard suitcases are allowed, and NO EXCEPTIONS will be made.
You must advise Cape Archives tours in writing of any special requests, i.e., diet, facility, or physical handicap, when you submit your reservation request to Cape Archives tours which will be met if possible. Cape Archives Tours will not be held responsible should any special requests not be received in writing
The Hirer will be responsible for any loss or damage caused to the vehicle, its fittings, or its equipment, if caused by the negligence of any passenger. Cape Archives tours do not allow any sign writing on our vehicles.
Cape Archives Tours reserves the right to make use of both permanent employees and freelancers on all their tours. All employees and freelancers have signed up to adhere to The Republic of South Africa’s laws when on tour with our clients. Alln employees have also signed an agreement with Cape Archives Tours that intimate relationship between driver/guides is strictly prohibited while on tour, therefore, Cape Archives Tours shall not be held liable for any damages, financial losses or any other inconviniences that may arise due to intimate relationships between Cape Archives Tours' employees and clients. Cape Archives tours shall also not be held liable for any dishonest driver/guide while on tour. All complaints must be communicated to the offices immediately for Cape Archives Tours to take swift action and rectify any issue at any given moment.
Cape Archives tours reserves the right to sub-contract, in case of an emergency or by its choice, and when this right is exercised, the substitute vehicle will, as far as circumstances permit, compare equally with Cape Archives tours’ own vehicle in comfort and reliability.
If Cape Archives tours does not acquire such a vehicle, it remains the Hirer’s right to obtain a vehicle, which conforms to its own standard, but for the Hirer’s own cost. In this event, the Hirer is entitled to a refund of any monies paid to Cape Archives tours, from the point where the sub-hired vehicle takes over the trip.
In the event of Cape Archives tours sub-contracting a vehicle, it is agreed between the parties that the owner and driver of the substituted vehicle shall act independently as an independent contractor, not subject to the control of Cape Archives tours.
It shall be deemed that the Hirer and the owner of the substituted vehicle will enter a contract of hire and carriage amongst themselves, and that Hirer indemnifies Cape Archives tours against any claim for damage or otherwise, whatsoever, resulting from the driving of the substituted vehicle specifically, but not limited to the reckless and/or negligent driving thereof.
Cape Archives tours would prefer to have the opportunity of improving the client’s experience, rather than satisfying any disappointments upon their return home. If clients are dissatisfied with any of the arrangements that Cape Archives tours has made, they should contact the telephone numbers provided
whilst they are in South Africa. Cape Archives tours cannot accept any liability in respect of any complaint that is not reported to us within 6 weeks (about 1 and a half months) of the client’s first arrival date.
NOTE – when you book travel related services with Cape Archives tours, you are entering into a binding agreement that assumes all terms and conditions are fully understood as stated in this document
